JerseySTEM is a mission-driven professional network of pro-bono contributors dedicated to improving access to STEM education and career pathways for underserved middle school girls in New Jersey.

Members contribute their professional skills and leverage their networks in service of the organization’s gender-equity agenda.

Membership is a minimum six-month commitment of approximately six flexible hours per week and includes a $100 refundable deposit, returned after six months of active membership. K–12 educators, retirees, veterans, interns, and students are exempt from the deposit.

Overview

We are seeking a detail-oriented and proactive SOP Associate to document our organization's internal processes. The successful candidate will be responsible for creating clear, concise, and comprehensive Standard Operating Procedures using the software Scribe. This role requires excellent communication skills to interview Subject Matter Experts (SMEs) and collaborate effectively with team leads and department heads to ensure accuracy and completeness of all documentation.

Responsibilities

  • Utilize Scribe software to capture and draft step-by-step guides and Standard Operating Procedures for various organizational functions.

  • Schedule and conduct interviews with Subject Matter Experts (SMEs), team leads, and department heads to gather detailed information about existing workflows and processes.

  • Translate complex processes into simple, easy-to-follow documentation suitable for a diverse audience of volunteers and staff.

  • Manage the SOP development lifecycle, including drafting, reviewing, editing, and obtaining final approval from relevant stakeholders.

  • Build, organize and maintain a centralized digital library of all SOPs, ensuring documents are kept up-to-date.

  • Facilitate clear and consistent communication between departments to resolve any discrepancies and ensure alignment on standardized procedures.

  • Assist in training staff and volunteers on new processes and the use of Scribe as needed.

 

Qualifications

Required:

  • Exceptional written and verbal communication skills, with an ability to interview experts and articulate complex information clearly.

  • Strong interpersonal skills, with a proven ability to collaborate effectively with cross-functional teams.

  • Excellent organizational and time-management skills; capable of managing multiple projects simultaneously.

  • Meticulous attention to detail and a commitment to producing high-quality, accurate work.

  • Proficiency with or the ability to quickly master new software, specifically Scribe.

  • A self-starter attitude with the ability to work independently and take initiative.

Preferred:

  • Prior experience in technical writing, process documentation, or a similar role.

  • Familiarity with Scribe or other process documentation software.

  • Experience working in a non-profit or volunteer-led organization.

  • Basic understanding of project management principles.
